"We booked through Pulse for our company retreat and the difference was night and day"

Our team of 45 needed a two-day offsite near the Causeway Coast. Previous attempts at organising it ourselves meant weeks of phone calls and mismatched quotes. Through Pulse's directory we connected with a venue, caterer, and activity provider within four days. Total spend came in 15% under our original estimate because the vendor recommendations actually fit our group size.

— D. McAllister, Operations Lead, Fern Digital Ltd. Event held September 2024.

8–12 Months — Lock Core Vendors

Secure your venue contract, book primary vendors (catering, photography, entertainment). Confirm deposit terms and cancellation windows in writing.

4–8 Months — Design & Detail

Finalise décor direction, send invitations or registration links, confirm AV requirements, arrange transport logistics for out-of-town guests.

2–4 Months — Rehearse & Refine

Run menu tastings, conduct site walkthroughs, build a minute-by-minute run sheet. Assign a point of contact for each vendor on the day.

Final 2 Weeks — Confirm Everything

Reconfirm headcount, send final briefs to all vendors, prepare contingency plans for weather or no-shows. Relax — the prep is done.

Quick Tip from Our Coordination Desk

Always request a "wet weather plan" from your venue before signing. In Northern Ireland, even July events need an indoor fallback. Venues that can't offer one aren't ready for your event.

"First time using a planning directory instead of going direct — genuinely saved us weeks"

We were organising a charity auction for 120 guests in Derry. Pulse's vendor board let us compare three caterers side-by-side with real review scores instead of relying on Instagram portfolios. The floristry recommendation alone was worth it — Bloom & Thistle delivered exactly what we described in one consultation.

Common Questions

Is there a fee to use the vendor directory?

No. Browsing vendor listings, reading reviews, and submitting event requests through Pulse is free for clients. Vendors pay a modest listing fee to appear in the directory.

How are vendor ratings calculated?

Ratings are based on post-event surveys sent to clients within 30 days of their event. Only verified bookings made through or referenced via Pulse contribute to scores.

Can I hire Pulse directly to coordinate my event?

Yes. Beyond the directory, our in-house team offers full event coordination. Submit a request and note that you'd like Pulse-managed coordination; we'll follow up with a scoping call.

Do you cover events outside Northern Ireland?

Our vendor directory is focused on Northern Ireland. For events in the Republic of Ireland or mainland UK, we can advise on a case-by-case basis — just mention it in your request.

What happens after I submit a request?

Our coordination desk reviews your brief, identifies 2–4 suitable vendors, and sends you a shortlist with availability and indicative pricing within 48 hours. You then contact vendors directly or ask us to manage introductions.
